AGM set for Sept. 14, members' votes required

This post has been updated to correct the date of the AGM. It is scheduled for Monday, September 14.

——

The Board of Directors have decided to proceed with the 2020 Annual General Meeting. Assuming Kincardine remains in Phase 3, where indoor gatherings of up to 50 people are allowed, the AGM will occur in-person. Physical distancing, wearing of face masks and regular sanitization will be required.

If gathering in person is not permitted, an online AGM may occur instead.

The AGM will be held on Monday, September 14 from 7-9 p.m. We are still confirming a location, so stay tuned for that information.

If you plan to attend the AGM, please RSVP so we have an idea on numbers and can ensure we maintain less than 50. If we have a higher interest, we will work to ensure all those interested can attend.

Elections information
As per the KTG’s current bylaws, four positions on the KTG Board of Directors are to be elected at every AGM for a three-year commitment. In addition to these four positions, there is an additional vacancy on the Board of Directors after a resignation from the board earlier this year.

The Board is looking for enthusiastic individuals with new ideas of how to continue to progress the KTG forward, bring out new audiences and help our membership stay strong. Individual board roles will be determined by the board at a meeting held after the AGM concludes. Terms are three years in duration, and board members are expected to attend monthly meetings in the evening that last up to 2 hours.

If you are interested in running for a spot on the board, simply fill out this form, ensure it is signed by the person who wants to run and email it to Secretary Peter King. If you would like to nominate someone to run, you require their signature on the form.

Nominations will be heard at the AGM, but we appreciate receiving as many in advance to help us plan the evening.

Members’ votes: Bylaws, KTG path forward
The Board of Directors will be bringing two items to the membership for consideration and a vote at this year’s AGM.

The first is the revised bylaws, which were presented at last year’s AGM and a motion was made to defer to further communicate the bylaws and the changes made. A number of newsletters have included the bylaws, and they are included below if you haven’t read them.

  • The current bylaws can be found here.
  • The proposed revised bylaws can be found here (bolded items within clauses illustrate changes from the current bylaws.
  • A summary of changes can be found here.

The second vote concerns the operations of the KTG within the current COVID restrictions.

When Kincardine moved to Stage 3 earlier this month, stage 3 does allow for the return of the live theatre with a number of COVID control measures required to be put in place.

The Board of Directors are currently considering the options right now, and plan to bring a recommendation to the membership for endorsement as to whether the KTG continues with productions with the additional restrictions, or temporarily halt live productions.

This recommendation will be sent to the membership in late August to give the members time to review the recommendation, as well as the considerations that the Board took into account.

This information will be sent via our newsletter, but we also want to ensure everyone who wants this information does receive it, so it will also be sent via traditional email. Please reply to Sarah Foster with your name and email address to confirm you would like to receive this information via traditional email as well. This email will be sent by August 22, 2020.
